Veeva Vault Login Guide: Easy Steps for Every User

Veeva Vault is a secure, cloud-based content management platform widely used in life sciences. It offers multiple applications such as QualityDocs/QMS, eTMF, PromoMats, and Submissions. Different users, including sponsors, sites, quality teams, regulatory staff, commercial users, and external partners, can log in using various methods. Standard Username and Password Login

Most Vault users can log in with their Vault username (usually in the format user@companydomain) and password.

Steps to log in:

  1. Visit the Vault login page: either the generic portal at login.veevavault.com or a customer-specific domain (e.g., https://.veevavault.com).
  2. Enter your Vault username. On your first login, provide the full username, including the domain.
  3. Enter your password and click Log In.
  4. If your account has access to multiple Vaults, you may be asked to select the Vault you want to enter. Otherwise, you’ll be directed to your default Vault.

Vault supports persistent sessions, so you remain logged in until you sign out or your session expires. After five failed login attempts, the account is temporarily locked and requires a password reset.

Single Sign-On (SSO) Login

Veeva Vault can integrate with corporate identity providers (IdPs) like Azure AD, Okta, or ADFS using SAML or OAuth/OpenID Connect. This allows users to log in with their corporate credentials rather than a separate Vault password.

How SSO works:

  • Open the Vault portal as usual. If SSO is enabled, you will be redirected to your company’s IdP login page.
  • Authenticate using your corporate username/password or multi-factor authentication (MFA).
  • After verification, you are returned to Vault with an active session. 

SSO can be either IdP-initiated (log in to the IdP first) or SP-initiated (open Vault first, then redirect to IdP). Users with SSO accounts cannot change their Vault passwords directly; all password updates must be done via the corporate IdP.

Logging in via Vault Mobile

The Vault Mobile app (available on iOS and Android) allows users to access Vault on the go.

Steps:

  1. Download and install the Veeva Vault app from your app store.
  2. Enter your Vault username and password.
  3. Optionally, enable Touch ID or Face ID for quick login (available for non-SSO accounts).
  4. If using SSO, the app will redirect you to your organization’s IdP to authenticate.

Once logged in, your session remains active until you manually log out. Keep your app updated to ensure compatibility with the latest Vault release.

Partner and External User Login

Veeva Vault provides special access for external users such as vendors, investigators, or site monitors. These accounts have specific licenses (e.g., “External User” or “Portal User”) and may have restricted permissions.

  • External vendors or agencies: Use standard Vault login with their assigned credentials. SSO may be available depending on the organization.
  • Site monitors and clinical investigators: Typically use a VeevaID account for single sign-on across Veeva products.
  • eTMF Portal users: Limited access to documents assigned to their site or study.

The login URL is generally the same as other Vault users, but access and features depend on the license and security profile.

Troubleshooting Common Login Issues

  1. Forgot password or username: Use the “Forgot password?” or “Having trouble logging in?” link on the login page. Follow the instructions to reset.
  2. Locked account: After five failed attempts, reset your password or contact your Vault administrator.
  3. SSO password changes: Must be done via your corporate IdP.
  4. Access denied: Check that your license and security profile allow access to the desired Vault application.
  5. Browser issues: Use a supported browser, enable cookies, and ensure TLS 1.2 or higher. Pop-ups and proxies can interfere with login.
  6. Mobile issues: Ensure the Vault Mobile app is updated and SSO is configured correctly.
